Application documents are easier to manage when you can identify the correct file immediately. The University of Pretoria’s published application instructions illustrate the importance of separate PDF documents and accurate, legible supporting information. Other institutions may use different formats and limits, so always follow the portal you are using.
Start with the actual request
Create a folder for each institution and intake. Inside it, keep a list of the documents that institution asks you to submit. Include any instructions about certification, file size, format or how recently a document must have been issued.
Our suggested naming method is descriptive and simple: document type followed by institution or intake where useful. Avoid leaving every file named scan or image. A clear filename helps you choose the right file, but it does not replace checking its contents.
Inspect every page
Open a document after scanning it. Check all corners, text, dates and relevant signatures. Rotate pages into a readable orientation and make sure no required page is missing. Compare the uploaded file with the original rather than relying only on the preview thumbnail.
For a multi-page document, follow the institution’s instruction about combining or separating pages. Do not assume a format accepted by one portal will be accepted by another.
Keep originals and submission evidence
Store the original documents safely and retain a private copy of what you submitted. In your checklist, record the date uploaded and any confirmation or error message. This makes a later enquiry more specific.
When using a shared computer, sign out at the end and remove temporary copies you placed there. Keep your application reference accessible to you without leaving sensitive documents in a public folder. Return to the official portal for replacement uploads when requested.
